How your vehicle progresses through the workshop
From
the diary transfer all information to the job card by hand. Highlight
in yellow any areas that need to be completed i.e. addresses, telephone
numbers, email address etc. On computer enter registration number
and do a VRM check on the vehicle and complete the information this
gives you i.e. the chassis number etc. Highlight any vehicle information
that needs to be completed by the mechanic. Look up on auto data
the service intervals and cam belt replacement intervals and complete
this on the job card too. Also enter tightening torques for sump
drain bolt, spark plugs and road wheels.
Complete
details of work requested to be done. This must be signed by the
customer on arrival to give us written authority of work requested.
Enter the date/time required by customer. Order parts as necessary
for servicing. Put in end grey rack for Richard (Workshop Foreman)
to distribute the day's work to the mechanics.
When
workshop staff is carrying out the servicing etc., they should enter
any advices for additional work needed in order for this to be quoted
and authority obtained to continue or rebook as necessary. Work
done should be listed on the left hand side of the back of the job
card, and advices should be listed on the right hand side of the
back of the job card.
Office
staff should enter the time allocated for each job on the front
against the job, and the mechanic should enter the time taken to
do the job with their initials in the space provided on the front
of the card.
When
advising a necessary repair as an immediate advice, workshop staff
must give as much information as possible for the correct component
to be ordered, i.e. brake discs - are they solid or vented, how
many studs does the wheel have and what make are the callipers or
pads. When entering tyre sizes, the make is also required.
In
order to inform the customer of the importance of advices all advices
should be prioritised as follows:
F
= item is MOT failure
1 = item requires attention as soon as possible
2 = item requires attention within a month or so
3 = item requires attention by next service
A = general advice/observation, item to be monitored
Emissions
test results must be entered onto the job card along with details
of tyre pressures and any necessary adjustments and tyre tread depths.
When
the mechanic has completed the job, the job card will have a description
of work done, the time taken entered and initialled by mechanic.
This will then be left in the grey rack outside the office door
awaiting a Quality Control (QC) check. A QC check will then be carried
out by a senior member of staff at which time the relevant QC sheet
will be completed and the job card signed by the person carrying
out the QC. When this has been done the job will be invoiced and
the vehicle released.
